A Pennsylvania real estate license background check is easier to manage when you treat it as a dated application document. First work out which states belong in your history. Then order the required reports with enough time to receive them and finish your license application.
This guide focuses on first-time salesperson applicants. It explains the current report-age requirement, how to retrieve your Pennsylvania PATCH result, and a practical way to organize the paperwork. Requirements and service information were checked October 14, 2026.
Start with the current Commission requirements
The Pennsylvania Real Estate Commission’s licensure guide calls for a Criminal History Records Check (CHRC) from the state police or another state agency for every state where you lived, worked, or completed professional training or studies during the previous five years. Reports must be dated within 180 days of application submission. A volunteer record check is not accepted.
Some older licensing articles still say 90 days. Before ordering, compare the current Commission guide with the instructions for your own application. If those instructions conflict, ask Commission support to clarify the document requirement. Do not use another profession’s checklist as a substitute.
Build a five-year state worksheet before paying
A residence-only list can miss a period of work or professional study elsewhere. A useful first step is to sketch your history by year, including overlapping periods. Use your own records to fill gaps instead of relying on memory alone.
For example, a student who lived in Pennsylvania and worked in New Jersey should flag both states for the checklist. Someone with an unusual remote-work, overseas, or training situation should get clarification about the required documents rather than guess how it should be classified.
Create one private row for each relevant state with these headings:
- State and dates associated with your history
- Whether you lived, worked, or studied there
- Official issuing agency and ordering page
- Published processing guidance
- Request date, report date, and saved filename
- Any question you still need answered
This worksheet is an organizational suggestion, not an extra state form. For other states, the Commission points applicants to the FBI’s directory of state identification bureaus. Use it to locate the appropriate state agency. Do not assume a single nationwide report replaces all requested state reports.
Use the appropriate Pennsylvania PATCH request
The Pennsylvania State Police provides its regular individual criminal-history check through PATCH online or by mail using form SP 4-164. The PSP request instructions list a $22 fee for that check. Pennsylvania’s record search covers Pennsylvania records; it is not a nationwide criminal-history search.
The current PATCH notice adds a 2% credit-card transaction fee for online checks, effective April 22, 2026. Check the amount shown when ordering. The same notice says online responses are no longer mailed: the requester must retrieve and print the completed response.
Read the product name before paying. PSP lists other services, including an individual access-and-review check, and a separate volunteer route. Select the report appropriate for the licensing instructions. An inexpensive or familiar clearance from an unrelated purpose may not be the document your application requires.
Time the report around the license application
Write down your realistic target for submitting the license application, then work backward. Include your remaining education, exam preparation, test appointments, and broker coordination. Keep the report’s issue date visible in your plan.
The Commission’s workflow includes broker review before the applicant returns to finish payment and submission. As a practical safeguard, do not treat an upload or “sent to broker” status as the final submission date for your report-age check. Our Clarus and PALS guide explains the separate application stages.
If you are considering starting classes in January 2027, you can organize your state-history worksheet now. Set a later checkpoint for ordering reports once your likely application timing is clearer. That approach leaves room to research unfamiliar state procedures without assuming every paid report should be ordered on the day you enroll.
Save the completed certificate and tracking details
PSP’s PATCH overview explains how an individual requester can check a request using its control number, the name originally entered, and the request date. The completed certificate is accessed from the request detail through the Certification Form link.
Keep the receipt, tracking information, and final certificate as separate items. A payment receipt proves you placed an order; it does not contain the completed criminal-history result. Before leaving the result page, open the saved document and check that it is readable and complete.
A filename such as PA-CHRC-2027-02-10.pdf can make the state and report date easy to recognize. Use the actual date printed on your report. Avoid putting a Social Security number or other sensitive identifier in the filename, and keep the folder private.
If PATCH says “under review”
According to PSP, an under-review response means the request needs manual processing; it does not necessarily mean the subject has a criminal record. The individual-service guidance allows two to four weeks for results requiring investigation. Treat that as planning guidance, not a guaranteed delivery date.
Record the status and check the existing request through the official service. Before paying for a duplicate request because the first result is delayed, contact PATCH support using the contact information on its official page. Have your tracking details ready, and describe the status you actually see.
If you are concerned about a conviction
Pennsylvania offers an optional preliminary-determination process under Act 53 of 2020. It can help a prospective applicant understand whether a conviction is directly related to the profession before investing in required training. It is not a guarantee that a future license application will be approved.
Read the official process carefully and seek qualified legal advice when you need an interpretation of your own record or disclosure obligations. A school’s enrollment decision cannot determine the Commission’s licensing decision.
Your final document check
- Compare your state worksheet with the documents requested in your application.
- Check each report’s name, identifying details, issue date, and legibility.
- Confirm you saved the completed result, including all relevant pages.
- Recheck report age if your exam or application timeline has moved.
- Keep submission confirmations and any official clarification with your records.
- Share criminal-history documents only through the appropriate official application or authorized professional channel.
